Job Description: Administrative Assistant
Title: Christian School Secretary
General Description: Perform a variety of clerical duties involving filing and maintaining all student records and reports in support of the school.
Spiritual: Models a consistent daily walk with Jesus Christ in speech, actions, and attitude. Sets example of the importance of prayer. Scripture memorization and study, witnessing, and unity in Christian fellowship. Implements “body-life” principles as they relate to the spiritual well-being of students, parents, and staff. Follows Matthew 18 principle in dealing with students, parents, administration, and staff. Shows support for the role of parents as primarily responsible before God for their children’s education and assists them in the task. Encourages students to accept God’s gift and salvation and grow in their faith. Emphasizes to students the reality of their self-worth in Christ.
Essential Duties and Responsibilities:
- Maintain and update students’ files to include the sample placement of documents.
- Maintain a database with report cards/progress reports. Ensure that the principal reviews report cards/ progress reports and that they are sent out on time according to the established school calendar. (File in student records) (Procare/ FACTS)
- Maintain an employee leave calendar and approval response.
- File lesson plans, attendance records, weekly newsletters (Make sure that lesson plans are turned in by 5pm on Fridays) Notify Principal in the event proper information is not submitted
- Collect all time sheets for Principal approval bi-weekly.
- Type communications to remind parents of upcoming events. (Ex. School will be closed on Veterans Day).
- Maintain School Board/Trustee Meeting Notes
- Email meeting notifications to Board members.
- Maintain and update employee handbook (addendums) as needed/ per leadership.
- Maintain the student roster as well as the phone tree communication / cell phone/ email
- Maintain and update the Employee handbook and SOP manual
- Maintain a schedule of yearly school surveys (teachers, students, Parents)
- Prepare weekly teacher meeting agenda and maintain records of meeting minutes
- Maintain and update the student handbook/ School Calendar yearly and as needed.
- Assist with marketing material for recruitment as well as distribution. Social Media Review post / Review-Changes for Web-site(Coordinate with Greystone)
- Prepare letters, memoranda, bulletins, reports, schedules, list, forms, or other materials as assigned.
- Maintain Substitute listing
- Maintain Registration Packets/ Receive Documents (Ex. Shot record, birth certificate, application)
- Type / Online Newsletters
Additional Job Functions: Performs other duties as required.
Terms of Employment: Eleven-month year. Salary and work year to be established by the Board.
Evaluation: Performance of this job will be evaluated in accordance with the provisions of the Board’s policy on Evaluation of Professional Personnel. Evaluations will occur once a year by the principal and submitted to the school board.
Minimum Training and Experience Required to Perform Essential Job Functions:
- AA Degree and /or a bachelor’s degree from an accredited college or university.
- Experience and mastery of Knowledge of Word and Excel
KNOWLEDGE OF JOB: Considerable knowledge of the policies, procedures, and activities of Power and Grace Preparatory Academy and supervisory practices as they pertain to the performance of duties relating to the position. Capability to develop and implement long-term goals. Knows hot to keep abreast of any changes in statutes, policy, procedures, and methods as they pertain to PGPA. Is able to assemble information and make written reports and documents in a concise, clear, and effective manner. Has good organizational, management, interpersonal and technical skills. Is able to set priorities, maintain standards, and resolve problems. Uses every opportunity to work as a team.
INTERPERSONAL TEMPERAMENT: Requires the ability to work with people beyond giving and receiving instructions such as in interpreting policies, decisions, and procedures. Must be adaptable and willing to assist when needed with other departments and students.
PHYSICAL COMMUNICATION: Requires the ability to talk and / or hear (talking – expressing or exchanging ideas by means of spoken words, hearing – perceiving nature of sounds by ear. Persons that apply must be able to walk and pick up at least 1-15lbs. Great communication skills are required for interaction with all students, teachers and staff respectively.
Elementary Teachers should be able to manage a classroom, communicate and teach one or more subjects clearly and effectively and follow school procedures. They are responsible for monitoring each student’s progress and maintain student portfolios. Educators should also enforce school rules and encourage good student behavior in and out of the classroom. Teachers should work hard to build relationships with students that inspire them to learn!
Additional Elementary Teacher duties include:
- Giving and grading assignments, homework and tests
- Maintain digital grade books
- Helping students prepare for end of the year testing
- Monitor students during recess and other activities
- Proactively speaking to parents about their children’s progress
- Meeting and working with other teachers and supervisors to discuss school policies and teaching strategies
- Creating weekly lesson plans that include activities with community members as well as technology learning application for students
- Learning TN Educational Standards and adjusting to PGPA pacing guides
- Plan S.T.E.A.M. lessons and activities
- Teaching Bible to students.+++
Curriculum: Abeka, Scott Foresman, Studies Weekly, Association of Christian Schools International (ACSI).
Educator Support: yearly professional development offered to maintain certifications, weekly staff meetings for positive direction and support.
PGPA Credentials: Nationally Accredited through Cognia, members of the Association of Christian Schools International, category 3 school with the TN Department of Education.
Education Requirements: BS Early Childhood Education and/or Elementary and Secondary Math /Science Majors, Elementary and Secondary Language Arts and Reading majors
Teaching certification is a plus K-8, teacher certification outside the state of TN is recognized, ACSI teacher certification is accepted.

COVID-19 considerations:
Student curb side pick up and drop off. Students and teachers can wear masks if they desire to do so. We are encouraging the washing of hands and additional cleaning of the building in common areas is being conducted. PGPA does follow CDC guidelines.:
